LTL| XPO Connect (NO Acct #)
Small Parcel| FedEx Ground (Account #’s Chart Below)
- Grainger orders automatically come through EDI and will appear in NetSuite, Grainger does not have a Portal to view orders, only a Portal to register LTL orders called “XPO CONNECT”
- After opening the order in “Edit” mode in NetSuite you will begin by checking these things firstly,
- Department
- Class
- Price
- Item Quantity
- Item Stock
- After checking to make sure the following information above is correct you will determine if the order is to go Small Parcel or LTL based off the item/quantity of items on order, to help determine open the item in a new tab in NetSuite and scroll down to click on “Product Details” and scroll down to the shipping section and the item will provide a Shipping Method like example below.
UPS LTL
- After determining what ship method, the order will be going LTL or Small Parcel you will begin to update as such.
- Small Parcel Orders: go through the checklist above and make sure all incoming information is correct, after determining the order will go Small Parcel you will update ship method to FedEx Ground and review the FedEx Ground Acct #’s chart above to choose the correct account number for said order, after finishing updating order, you will approve for it to be sent down to the WH.
- LTL Orders: LTL will go through the same process and checklist above to determine all information is coming in correctly and then you will determine based off Quantity/Item on order if it will go LTL, once determined an order will go LTL you will update Ship Method to go “XPO-Logistics” and then will need to open the XPO Connect portal link below to Register and receive BOL and OX Number for Pickup.

- XPO CONNECT: after logging into the Portal the first step is to choose the correct side of the portal there is two options “Grainger (6-1-GRAILFIL)” or “Zoro (6-1-ZOROBGIL)” since you are currently working on the Grainger account you will choose Grainger, see example of first page below.
- After logging into the Grainger side of the XPO Connect Portal you can now begin to Register orders, to register orders you will take the PO# off of the NetSuite order and search it in the search bar to pull up the specific order after that you will click the small box on the far left side and then choose “Create Order” this will take you to a new page to register the order, Example of searching and creating order below,
After choosing “Create Order” you will be taken to a new page to Register the LTL order, See Example of Create Order Page Below.
- Firstly, you will need to update the “Location” to the correct “15837 FERN AVE” this will pull the entire address including STATE, and ZIP CODE. After entering in that information you will need to choose the correct Pickup Date and what would be considered Late Pickup Date for the appropriate shipping time frame. As well as updating the Pickup Times (XPO uses military times).
- You will then click on “Item Information” to validate purchase orders to be shipped. Example of item information before it is validated below.
- After clicking to validate the item information you will need to click on the small box on the far-left hand side, this will select everything below, as well as opening the rest of the information for you to register for the selected PO#. Example Below.
- The Next step in registering XPO is to go back to the NetSuite order and open all the items on the order and get the total order weight as well as how many pallets the order will be shipping on, “SKID SPACES” will always be marked as “1”. The rest of boxes should be left blank, you will then click “Review Order” at the bottom of the page and then you will submit the order, after a small pop up will then appear and you will take the “OX” number and add it to the memo line on the NetSuite order. GRAINGER PICKUPS
- For Small Parcel they do not require a pickup, instead you will need to email the WH daily and ask for a “Status Update” be sure to include the SO# as well as highlighting any late or becoming late orders and ask the WH to prioritize those first.
- For LTL also known as XPO orders you will need to schedule them daily, example of email below as well as Contacts for Grainger XPO orders please be sure to include the WH on these emails as well.
