Once your logged in. You’ll see this pop open. You will click on Take Action – Acknowledge unconfirmed Pos to prevent cancellation.

Once you have clicked Take Action, you’ll see the unconfirmed PO’s like below. You will pull up each individual PO in Netsuite.

You will click the box for each PO and click on Provide confirmation details

With the PO’s pulled up in Netsuite, you will check to see if we have stock and can fulfill the order. If we do not have stock, you will cancel the order in the portal using one of the below options. Most of time you will choose, Cancelled: Out of Stock. If it’s an item we have discontinued, you’ll choose, Discountinued: Obsolete. If we do have stock, you will choose, Accepted: In stock.

If out of stock, you will cancel the order in Netsuite and the portal. 

If in stock, you will choose Accepted: In Stock.

Once you have gone through the orders. You will click Return to Purchase Orders.

Next you will hover over Orders and click on Shipments

Next you will click on Create a new shipment. You can only work on 1 PO/shipment at a time.

You will find the correct PO that you have pulled up in Netsuite and find the location that says, 3455 S. Northpointe Dr., Fresno, CA or 1099 Dodds Ave. SE Adairsville, GA 30103. Select Add purchase order to shipment and continue to step 2

Make sure the Ship to Address is the same in the portal and on the order in Netsuite. The locations are updated on the order in Netsuite. In the memo line in the SO, put waiting on labels. Make sure the price hold box is unchecked

Once everything is updated in Netsuite, save the SO and click approve & hold. 

Request pickup date is between certain dates. 

Total Cartons: How many boxes are being shipped out

Total Pallets: Each KIT gets it’s own pallet/How many KITS are we sending

Total Estimated weight: How much does the kit/s weight

Total estimated volume: 1 pallet = 6 cubic feet

Your shipment reference ID/BOL: This will be the Purchase Order number

Once everything is filled out, confirm and submit shipment

Amazon will usually get the  order routed with a carrier the same day. 

You will know when it’s been routed by the Carrier mode will be filled in. You will update the SO in Netsuite with the carrier that Amazon has selected.

Click on view details.

Edit the order in netsuite, you will need to put the carrier name and the carrier tracking in the memo line. In the shipping tab, put the ship via as the carrier Amazon has selected.

Click Save on the order.

In the portal, click on prepare carton labels and continue to step 2

Make sure you have selected the correct PO on Purchase order and sku packing method will always be single SKU pallet/s. For some unknown reason Amazon will not recognize if you put 5 in the place where it says cartons per pallet. You will need to put 1 for units per carton, 1 cartons per pallet and 1 pallet. Click confirm.

Again select the correct Purchase order. Click Confirm and print labels.

For LTL shipments, you will need to print the pallet labels and print carton labels. Each will be labeled SO#____palletlabels and SO#_____cartonlabels.

Next you will select Print shipping labels

Print PRO label. This will be saved as SO#____PROlabel.

Next Print BOL. This will be saved as SO#____BOL.

Now we can Submit ASN.

On Purchase Order, select the PO you are working on and Continue to step 4

Ship Date is 2 days from today

Estimated delivery date is 2 weeks from ship date. Update/Edit the highlighted areas where needed.

Confirm and submit shipment

Now that the ASN has been submitted. You will need to email the warehouse the labels and BOL. Amazon wants the pallets labeled a certain way. I’ve included pictures and a template that you will send the warehouse for this order.

Good Morning Team,

I’ve just sent this Amazon order down. This will be a __ pallet order. I’ve included the carton and pallet labels and the master BOL. This has been routed with Amazon LTL and is scheduled for pick up ______. Please put the DO NOT BREAK paper’s on the pallet. Please send pictures of this order staged with the labels before shipping.

Please do not release this to any other carrier except who it is routed with.
